About ENTSO-E

ENTSO-E is the European Network of Transmission System Operators for Electricity. ENTSO-E coordinates the cross-border system operations, system development and electricity market activities of the 43 electricity transmission system operators (TSOs) which cover 36 countries. ENTSO-E is assigned important tasks in EU legislation, including the development of Europe-wide electricity network development plans, and of more than 10 network codes which themselves become binding European laws.

The ENTSO-E Secretariat in Brussels is the focal point for technical, market and policy questions for all European TSOs in their cooperation with each other, in their joint fulfilment of their legal mandates, and in the intensive interactions with European Commission, regulatory agencies, associations representing network users and other stakeholders. The role of the TSOs and their cooperation in ENTSO-E is crucial to ensuring security of supply; completing the largest and most competitive electricity market in the world; and successfully integrating large volumes of renewable energy into the system.

ENTSO-E applies a project-aligned method of working. This covers the business case, well-defined scope and deliverables, clear roles for decision making and controlling responsibilities and plans for resources, quality and risk management.

The scope and diversity of ENTSO-E’s work has grown rapidly and is expected to grow further with implementation of network codes and the current challenging energy policy discussions.

About CGM Programme

The CGM Programme was established to deliver the capability for pan-European exchange of data between Transmission System Operators (TSOs) and Regional Security Coordinators (RSCs) as set out by the European Union (EU) under various Network Codes. The data exchanged (in the form of individual & common grid models) between TSOs and RSCs will ease the cooperation between TSOs and will result in an even more secure and cost-efficient pan-European grid. To provide this capability of a pan-European date exchange, the CGM Programme is delivering a full data exchange systems and IT infrastructure, including a pan-European Private Physical Communications Network (PCN).

Within the CGM Programme, the Business Lead Manager (BLM) is appointed by System Operation Committee as business representative in the programme. His is responsible for all business-related issues such as methodology, requirements, business processes, business integration and rollout. He will be supported by a team for methodologies and by two additional business teams:

  • Solution Delivery Team – Business Requirement Specifications & Change Requests

  • CGM Build Process Team – Quality and Processes for CGM deliverables. Both the Solution Delivery Team and the Build Process Teams are made up of representatives from TSO’s and RSC’s, Consultants and CGM Programme staff. They meet, on average, every two to four weeks in various locations across Europe.

The successful candidate for the role of Business Administration/PMO Support will report to the Business Lead Manager. He/she will also have indirect reporting responsibilities to the CGM PMO Lead.

Responsibilities and tasks of the role

The successful candidate will work at the ENTSO-E Secretariat facilities in Brussels on a 3-day week basis and will be responsible for the following activities:

  • Business Lead Manager support

    • Coordinate internal communications and meetings

    • Issue meeting agendas, take meeting notes, create draft reports and presentations as appropriate.

    • Support in organisation of room bookings, catering and participant invitations for meetings with external participants

    • Complete administration tasks as necessary and in a timely manner.

    • Own and deliver ad hoc tasks as they arise for the Business Lead Manager

  • Solution Delivery Team support

    • Coordinate internal Solution Delivery Team communications and meetings

    • Issue meeting agendas, take meeting notes, create draft reports and presentations as appropriate.

    • Support in organisation of room bookings, catering and participant invitations for meetings with external participants

    • Complete administration tasks as necessary and in a timely manner.

    • Own and deliver ad hoc tasks as they arise for the Solution Delivery team

  • CGM Build Process Team support

    • Coordinate internal CGM Build Process Team communications and meetings

    • Issue meeting agendas, take meeting notes, create draft reports and presentations as appropriate.

    • Support in organisation of room bookings, catering and participant invitations for meetings with external participants

    • Complete administration tasks as necessary and in a timely manner.

    • Own and deliver ad hoc tasks as they arise for the CGM Build Process team

    • Interact with the ICT Delivery Team and CGM PMO Lead to gather and communicate issues, actions and risks.

    • Facilitate administration of supplier contracts (amendments of existing or creation of new)

    • Follow-up on timely and correct invoicing and payment

Profile

You are a self-starter, comfortable with ambiguity and you have a track record of contributing to project deliverables by providing administrative assistance to project and program managers.

You have hands-on project administration experience to complement your strong organisational skills and attention to detail and you are knowledgeable in mainstream project management approaches and are comfortable working within these approaches under the guidance of an experienced project or program manager.

  • Minimum 2/3 years of experience in Business Administration and / or Team Assistance

  • Working experience in a similar role within the PMO of a complex Programme or Project will be strongly considered

  • Advanced knowledge of Microsoft Office suite and common office software tools is a must

  • Previous experience in SharePoint is a plus – knowledge of other collaboration tools is also appreciated

  • Good analytical and problem-solving skills.

  • Strong attention to detail while keeping a team mindset

  • Ability to work under pressure in a fast-paced environment.

  • Well-structured and organised documentation management skills

  • Strong oral and written communication skills in English

  • Customer oriented approach for the fluent and supportive interaction with ENTSO-E members

  • Flexibility towards the work load is required (peak load moments will occur)

  • The ability to work within a multinational and multicultural professional environment

  • Some travel across Europe will be required
